As a Property Manager with our firm, you are the face of our company. Your leadership, decision-making, and interpersonal skills directly impact our reputation, our residents’ quality of life, and our clients’ financial returns. You will be supported by a dedicated team but will have the autonomy to manage your portfolio with a significant degree of independence.

Detailed Role Responsibilities

The Property Manager role is multifaceted, blending customer service, financial acumen, and operational oversight. Your core responsibilities will span several critical domains.

1. Operational and Maintenance Management:

  • Oversee Property Maintenance: Conduct regular property inspections to identify maintenance, repair, and safety issues. Develop and execute a proactive preventive maintenance schedule for all building systems (HVAC, plumbing, electrical, structural).

  • Manage Service Requests: Coordinate and oversee all tenant service requests, ensuring timely and high-quality completion. Maintain a detailed log of all requests and resolutions.

  • Vendor and Contractor Management: Source, negotiate with, and manage a reliable network of vendors, contractors, and service providers. Obtain competitive bids, manage service contracts, and ensure work is completed to standard and within budget.

  • Unit Turnover Management: Manage the process of unit turnover, including coordinating move-out inspections, scheduling repairs and renovations, and ensuring units are “market-ready” in a timely manner.

2. Financial Management and Reporting:

  • Budget Management: Prepare, manage, and adhere to the annual operating budget for each property in your portfolio. Forecast operational expenses and capital expenditures.

  • Rent Collection and Arrears Management: Oversee the rent collection process, enforce lease terms, and manage delinquencies in accordance with company policy and local laws.

  • Financial Reporting: Provide property owners with clear and concise monthly financial reports, including income statements, budget variances, and summaries of capital projects.

  • Expense Control: Review and approve invoices, code expenses appropriately, and identify opportunities for cost savings without compromising quality or service.

3. Tenant and Owner Relations:

  • Tenant Retention and Satisfaction: Foster positive relationships with tenants through professional and responsive communication. Develop and implement tenant retention programs.

  • Lease Administration: Oversee the entire leasing lifecycle, from marketing vacant units and conducting showings to screening applicants and executing lease agreements.

  • Conflict Resolution: Address and resolve tenant complaints and concerns diplomatically and in accordance with the lease agreement and fair housing laws.

  • Owner Communication: Serve as the primary liaison for property owners, providing regular updates on property performance, tenant issues, and market conditions.

4. Compliance and Risk Management:

  • Regulatory Compliance: Ensure all properties comply with local, state, and federal regulations, including Fair Housing laws, building codes, and health and safety standards.

  • Insurance and Liability: Manage property-related insurance claims and work to minimize liability risks.

  • Record Keeping: Maintain accurate and organized records for all properties, including leases, maintenance histories, vendor contracts, and financial documents.

Candidate Qualifications and Required Experience

We are looking for a candidate who possesses a blend of practical experience, formal knowledge, and innate interpersonal skills.

Mandatory Qualifications:

  • Experience: A minimum of 3-5 years of experience in a hands-on property management role, with direct responsibility for a residential or commercial portfolio.

  • Software Proficiency: Demonstrated experience with property management software (e.g., Yardi, AppFolio, RealPage) and the Microsoft Office Suite, particularly Excel for financial analysis.

  • Financial Acumen: Proven ability to develop, manage, and analyze property budgets and financial statements.

  • Legal Knowledge: A working knowledge of landlord-tenant law, Fair Housing regulations, and leasing practices.

Core Competencies and Behavioral Attributes:

  • Communication Excellence: Exceptional verbal and written communication skills, with the ability to interact effectively with a diverse range of people, from tenants and vendors to owners and corporate leadership.

  • Leadership and Teamwork: The ability to lead by example, manage on-site staff (if applicable), and collaborate effectively with a central support team.

Education and Certifications:

  • A high school diploma is required; a Bachelor’s degree in Business, Real Estate, or a related field is preferred.

  • Industry certifications such as a Certified Property Manager (CPM)Real Property Administrator (RPA), or similar are a significant advantage.
