Position Overview: The Role of an Administrative Assistant
The Administrative Assistant provides critical support to the designated office or department, ensuring the seamless flow of administrative and operational processes. Key Responsibilities and Duties
The selected candidate will be entrusted with the following primary responsibilities:
1. Office Management and Administrative Support:

Serve as the first point of contact for the office, managing telephone enquiries, receiving visitors, and responding to routine requests for information.

Coordinate and manage the schedules and appointments of senior staff, including arranging meetings and managing calendars effectively.

Prepare, draft, and finalize general correspondence, reports, presentations, and other documentation with a high degree of accuracy and professionalism.

Maintain an efficient filing system, both electronic and physical, for easy retrieval of critical documents and records.
2. Logistics and Event Coordination:

Provide comprehensive logistical support for meetings, workshops, and official events. This includes arranging venues, coordinating participant travel, and preparing necessary materials.

Manage the procurement of office supplies and equipment, ensuring adherence to organizational financial rules and regulations.

Assist in the coordination of official travel for staff and consultants, including processing travel authorizations, claims, and logistical arrangements.
3. Financial and Budgetary Assistance:

Assist in the preparation of budget estimates and the monitoring of expenditures against allocated budgets.

Required Qualifications and Experience
To be successful in this role, candidates must meet the following criteria:
Education:

Supplementary training in administration, office management, or a related field is highly desirable.
Experience:

A minimum of three to five years of progressively responsible experience in administrative support or office management roles.
