This role is central to ensuring the smooth flow of contract management, client correspondence, and operational support. We are looking for a dedicated female professional (Wanita) with a background in administration, an eye for detail, and an eagerness to learn within the fast-paced maritime sector.
About the Role: Administrative Generalist
The Administrative Generalist at PT. Samudra Gelombang Perkasa is the organizational backbone of our contractual and client relations processes. You will be entrusted with managing the complete lifecycle of company contracts—from initial drafting and internal coordination to final archiving and renewal monitoring. Your work ensures that our business agreements are accurate, compliant, and properly executed, directly supporting our operational and financial teams. This position requires a unique blend of administrative precision, proactive coordination, and a foundational understanding of business documentation. While prior shipping experience is advantageous, a structured mind and a willingness to master maritime-specific processes are the core requirements for success.
Detailed Duties and Responsibilities
Your responsibilities will span contract administration, client communication, and general operational support, requiring both independence and seamless teamwork.
A. Core Contract Administration & Lifecycle Management:

Contract Drafting & Preparation: Assist in preparing and administering various inter-company cooperation contracts, including Charter Agreements, Service Agreements, Addendums, and Amendments. You will be responsible for preparing initial contract drafts based on established company templates.

Data Verification & Compliance: Conduct thorough checks of contract completeness, verifying critical data such as company names, scope of work (SOW), contract periods, values, and all legal and commercial terms.

Internal Coordination & Review Process: Manage the internal contract review workflow. This involves coordinating feedback and sign-offs between key internal stakeholders in the Operations, Legal, and Finance departments to ensure all perspectives are incorporated.

Contract Monitoring & Renewals: Proactively monitor the validity periods of all active contracts. You will be responsible for issuing timely reminders for renewals, renegotiations, or terminations, ensuring no service lapse occurs.

Physical & Digital Archiving: Establish and maintain a neat and structured filing system for all contract documents, both in physical hard copies and in organized digital repositories, ensuring quick and secure retrieval.
B. Client Correspondence & Documentation Support:

Formal Correspondence Management: Assist in the administration of official correspondence between companies. This includes drafting and processing offer letters, cooperation letters, and other formal communications.

Data Compilation & Reporting: Compile and maintain summary reports and databases for vessel contracts and client information, providing clear overviews for management.

Invoice Preparation & Issuance: Support the finance team by preparing and issuing client invoices based on contract terms and the actual completion of work or services rendered.
C. General Operational & Administrative Support:

Vessel Operations Administration: Provide general administrative support related to vessel operations that intersect with contractual obligations.

Ad-hoc Administrative Duties: Perform other administrative tasks as directed by your supervisor, contributing to the overall efficiency of the office.
Candidate Qualifications and Profile

Formal Requirements:

Gender: Wanita (Female).

Education: Minimum of a Diploma 3 (D3) or Bachelor’s Degree (S1) in Administration, Management, Maritime Studies (Pelayaran), or a related field.

Experience: Minimum of 1 year of experience in an administrative role. However, exceptional fresh graduates who demonstrate outstanding organizational skills and a fast-learning aptitude will be seriously considered.

Technical Skills: Proficient in Microsoft Office Suite, with strong capabilities in Word for document drafting and Excel for data tracking, compilation, and basic reporting.

Language: Professional proficiency in Bahasa Indonesia for all written and verbal communication.
