3.0 Key Responsibilities and Duties of the Role

Under the overall authority of a Director and the direct supervision of a Senior Project Officer or Head of Unit, the Associate Project Officer will provide essential support across the entire project lifecycle. This role is a blend of analytical, administrative, and coordination functions critical to project success.

3.1 Project Implementation and Coordination:

  • Provide substantive support for the implementation of project work plans, ensuring activities are carried out in a timely and efficient manner.

  • Assist in coordinating project activities with implementing partners, consultants, and other stakeholders, serving as a key liaison.

  • Participate in project meetings, preparing agendas, drafting minutes, and tracking follow-up actions to ensure accountability.

  • Contribute to the organization of conferences, workshops, and capacity-building sessions, handling logistical and substantive arrangements.

3.2 Monitoring, Reporting, and Knowledge Management:

  • Support the regular monitoring of project activities against established indicators and baselines.

  • Assist in the preparation of progress reports, donor reports, and other briefing materials for internal and external stakeholders.

  • Conduct basic research and analysis on topics relevant to the project’s scope to inform decision-making and strategy.

  • Contribute to knowledge management efforts by systematically filing project documents and maintaining a database of key resources and outputs.

3.3 Administrative and Financial Support:

  • Assist in the preparation of project budgets and the monitoring of expenditures.

  • Support the procurement process, including the preparation of terms of reference for consultants and contracts for service providers.

  • Help manage the submission of financial reports from partners and assist in reviewing them for accuracy and compliance.

  • Experience: A minimum of two years of relevant professional experience in project or programme support, preferably within an international organization or a non-governmental organization.

    • Essential: Demonstrable experience in supporting project administration, budgeting, and reporting.

    • Highly Desirable: Familiarity with the United Nations system, its rules, procedures, and operational practices.

4.3 Languages:

  • Excellent knowledge (written and spoken) of English or French, which are the working languages of UNESCO.

  • A working knowledge of the other UN working language (French or English) is a significant asset. Knowledge of other official UN languages (Arabic, Chinese, Russian, Spanish) is also advantageous.
